Transfers and Move-Outs

Please remember that you must submit your move-out date through the Member Portal. We’ve enjoyed having you! This is the simplified list of items to be done to ensure your space is Move In Ready for the next person: Vacuum carpet floor or sweep and mop hardwood and vinyl floors where appropriate Ensure you take any personal items from: Bathroom cabinets, shelves, and drawers Removed personal items from common closets, storage areas and garage Remove and clean designated kitchen shelf, pantry, or related space Clean tub or shower, particularly floor and glass Patch any holes in walls Remove personal food from all refrigerators Take pictures of areas when done and submit in the Member Portal Additionally, as per the lease, carpets in the room must be professionally cleaned. We have a contract with Clean Free Carpet where they will typically do a room for $99. You can call or text them at 704-890-2204 to schedule a cleaning. For hardwoods or laminate flooring, sweeping, and moping is usually sufficient. Last, we recommend for everyone moving out in advance to register a forwarding address with the USPS to ensure seamless services. This link will enable you to do so easily on your electronic device of choice. https://www.usps.com/manage/forward.htm On your scheduled move-out day, please remember to do the following: Clean your room After cleaning, please take at least two photos of your clean room and key location. Upload those photos to your dashboard (see below). If you have a physical key, leave it in the room Move out by 9:00am

To schedule your move-out date, log into your Member Portal and click the "Request Move-Out" button. This will notify our team to take the next steps. When you submit your move out date, make sure to also ensure your account information is loaded in the portal. We only return deposits via the portal once the room is inspected, which usually takes a week minimum. Once the room is inspected by our team, they will take photos and upload to our system to provide transparency as to our findings. If all is in good standings, you will receive your Membership Agreement deposit back within days, minus the $100 turnover fee.

There is no penalty for moving out in the last 30 days of your commitment term since you’ve paid your dues in full. Early termination results in a 2-month penalty and forfeit of deposit. If the penalty is paid before moving out, Members in otherwise good standing are eligible for their deposit return as per the terms of the Membership Agreement. If you have made the decision to break your commitment term, the Next Step is to email our Member Team at Info@CommunityRoomRental.com the following information: Desired termination date (reminder that it must be at least 30 days out). Reason for need to terminate commitment (i.e. job relocation, family, etc). Depending upon the situation, our team may offer assistance. Preferred manner to settle breakage fee (Zelle and Venmo accepted) or a short term payment plan of up to 2 months. Forwarding address (if known). In all cases, refunds take at least one week to process. Members wishing to cancel a move-out may do so if the cancellation occurs before their scheduled move-out date. Refund Eligibility Community Room Rental members pay by the month. If you choose to move out in the middle of a monthly contracted term, you will NOT receive a refund for the remainder of the term. You will only receive a refund if you have prepaid more than your current period. The refunded amount will be only for any prepaid days outside of the current due’s month. If you've decided to stay in your Community Room Rental, canceling your move-out date is easy. Contact Member Services to ensure the room is not already rented. If so, we can work to send a new lease. Please note: There is a $25 cancellation fee applied You must cancel your move-out before your scheduled move-out date. If you wait until your move-out day to cancel, your room may already be rented to someone else.

Your refund eligibility depends on when you make the request. In all cases, The application fee is always non-refundable Refunds will take at least 1 week to process Refunds Before Move-In Please see How do I cancel my move-in? Refunds on Move-In Day In certain cases, there may be problems with your room or home that Community Room Rental is able to remediate. Members may qualify for a refund if the following problems are unable to be fixed in a reasonable amount of time: You are unable to access the room or home after trying all the troubleshooting methods listed here The room has not been cleaned (please note that minor wear and tear such as wall markings, imperfect paint and light dust do not qualify) The room is occupied The home's listing details on the platform are incorrect In addition, please note: Move-ins are only supported during the hours of 9:00am-5:00pm EST, M-F. We highly encourage Members to schedule their move-ins during these times. Move-ins made outside of these hours are not eligible for a refund. Members must make good faith efforts to remediate the problem by following these steps. Members who move their things into the home will not be eligible for a refund. If you would like to request a refund based on the criteria above, please Contact Member Services. If you are unhappy with the room for any other reason, you can transfer locations. Community Room Rental has a whole network of rooms available for you to transfer to at any time. If you signed any minimum commitment, you are eligible for one free transfer within 14 days of your first move-in. Your move-in fee will be waived, but if there is a change in room cost, you will be responsible for the price difference. For all other transfers, you will be charged the home's new move-in fee as well as a one time transfer fee. In all cases, you must have a $0 balance to transfer. You can initiate a transfer in your portal or contact our team at Residents@CommunityRoomRental.com
